Duties
Serves as the administrative and management expert for the Management Section. In a role that requires a high level of sensitivity and discretion, the incumbent is the Management Section’s primary liaison with all sections at Post, as well as with senior host government officials, state government officials, Non-Governmental Organization’s (NGO), other diplomatic missions, and senior managers within the corporate community, such as Bank of America, Axis Bank, RBL Bank, area hotels, and other business partners. The position reports directly to the Management Officer and interfaces with all management heads in the section. The incumbent is in charge of controlling access to the Management Officer through scheduling, consultation, and correspondence, and provides research support and administrative input directly to the Management Officer. Working at a managerial level, the Management Secretary regularly advises all members of the management section on administrative protocols, and initiates procedures for accomplishing a diversity of tasks that often present competing priorities. Under minimal supervision, s/he also manages procedures such as tracking leave scheduling for all of the Management section, arranging travel, creating schedules for management visitors, submitting and tracking procurement requests, coordinating management events planning, and serving as the administrative coordinator for high-level visitors, such as the Minister Counselor for Management Affairs. S/he serves as the point of contact for all management notices, expendable supplies, E2 travel orders, and vouchers for the Management Officer and General Services Officers. The incumbent is the Head Timekeeper for the entire Consulate General of Chennai as well as the Post Payroll Liaison with Bangkok.
Qualifications and Evaluations
Requirements:
EXPERIENCE: Minimum four years of secretarial/administrative experience with a top-level executive in a large business or government office is required.
Education Requirements:
Mandatory: Bachelor’ degree in Arts (Humanities) or Business (Commerce) or Science / Technology or Computer Application or Business Administration is required.
Evaluations:
LANGUAGE: Mandatory: Fluency in English – Speaking, Reading, and Writing and
Good Working Knowledge in Tamil or Telugu or Malayalam or Hindi or Kannada – Speaking, Reading, and Writing.
