Job Title: Office Assistant
Summary:
We are seeking an experienced Office Assistant to join our General Administration department. The ideal candidate will have 2 to 3 years of experience in a similar role and possess excellent organizational and communication skills. As an Office Assistant, you will be responsible for providing administrative support to ensure efficient operations within the office.
Roles and Responsibilities:
1. Perform general clerical duties, including photocopying, scanning, faxing, and filing documents.
2. Manage incoming and outgoing correspondence, including emails, letters, and packages.
3. Assist in organizing and scheduling meetings, appointments, and events.
4. Maintain office supplies inventory by checking stock levels and placing orders when necessary.
5. Coordinate travel arrangements and accommodations for staff members.
6. Answer and direct phone calls, take messages, and respond to inquiries.
7. Assist in the preparation and formatting of reports, presentations, and other documents.
8. Support the HR department in maintaining employee records and processing paperwork.
9. Assist in coordinating office maintenance and repairs.
10. Provide general administrative support to the team as needed.
Qualifications:
1. 2 to 3 years of experience as an Office Assistant or in a similar administrative role.
2. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
3. Strong organizational and time management skills.
4. Excellent written and verbal communication skills.
5. Attention to detail and accuracy in completing tasks.
6. Ability to prioritize and multitask in a fast-paced environment.
7. Strong problem-solving skills and ability to work independently.
8. Knowledge of office equipment and procedures.
9. High school diploma or equivalent; additional certification in office administration is a plus.
