Job Summary
The Administrative Assistant position provides day-to-day administrative/secretarial support for a team or multiple teams, including proposals/presentations, billing, projects & processes, and basic secretarial duties including calendaring, travel arrangements, and correspondence. The position will manage some projects, programs, and/or processes.
Position Responsibilities
o workflow systems/Firm databases as required, including new client/job workflows and other various internal documents related to client service
o Files and documents for a specific team; updating charts and binders with information
o Databases for the Firm intranet site; creation of material/text and maintenance of information
o Assist with the production and editing of client or Firm deliverables, such as proposals/RFPs, presentations, reports, spreadsheets, and reports.
o Prepare materials for electronic delivery, though scanning or other delivery methods may apply.
o Involvement in marketing campaigns
o Document maintenance and retention (save, scan, upload to applicable sites)
o Liaison for outside organizations/persons, when necessary
o Manage conflicting priorities and an overall backlog of admin requests.
o Responsible for enforcing office security
o Make hotel and transportation reservations if requested
o Maintain and balance petty cash
o Assist with overall facilities management of office – environment, janitorial, storage, heating, and cooling issues, lighting, and security when requested
o Responsible for the management of services, procurement and contract management, building maintenance, cleaning, catering, and vending when requested
Qualification:
Bachelor’s degree is required
1 year of administrative experience preferred
Proven administrative, organizational and time management skills with great attention to detail and accuracy
Ability to multi-task and work in a fast-paced atmosphere; perform well under uncertain or unstructured conditions (pressure); self-driven within a deadline-oriented environment
Superior verbal and written communication skills and a focus on client service, together with the ability to exercise independent judgment
Solid technical proficiency and in-depth knowledge of MS Office applications (particularly Word, Excel, PowerPoint and Outlook)
Ability to be in the office five days/week
Ability to work overtime, if required
